The TERMS & CONDITIONS - Hosted Buyer Program
Eligibility & Participation
- This program is strictly limited to buyers of the “JAPAN’S FOOD” EXPORT FAIR (hereinafter referred to as “the Show”). It is non-transferable and only valid for individuals aged 18 or older who are affiliated with a company, corporation, or organization.
- The applicant to this program represents and warrants that they are authorized to participate in the event as a Hosted Buyer and that they have obtained consent from the responsible person of their affiliated company or organization prior to applying.
- The company or organization to which the Hosted Buyer belongs shall be deemed to have understood these terms and conditions, and shall bear joint-responsibility with the Hosted Buyer to the Show Management for all actions in connection with the Hosted buyer’s participation in the Show including the submission of this application.
- Hosted Buyers must attend the Show for at least two days and must not be affiliated with any exhibiting company.
- Participation as a Hosted Buyer is subject to approval by the Show Management. However, if the applicant requires a visa to enter Japan for the purpose of participating in the Show, they shall be bound by the VISA APPLICATION AGREEMENT , which must be agreed to separately.
Program Requirements
- Hosted Buyers are required to attend the “Greeting Session” (tentative name) on the first day of their attendance at the Show.
- Hosted Buyers must secure at least 10 individual business appointments with exhibitors by the deadline set by the Show Management and must attend each appointment as scheduled.
- A minimum of a business card exchange is required for each confirmed appointment.
- Hosted Buyers must submit a report on their business meetings, including any specified by the Show Management, by the final day of the show (Winter: December 5, 2025 / Summer: June 26, 2026).
- If requested by the Show Management, Hosted Buyers must participate in an exhibitor introduction matchmaking session (maximum 1 hour). This request will not be made to those whose schedules are already fully booked.
Travel & Accommodation
- Hosted Buyers must submit their flight details by the deadline set by the Show Management. Hotel reservations will only be confirmed after flight details are submitted. (Participation is contingent upon visa approval, if required.)
- The Show Management will cover hotel accommodation costs only. All other expenses must be borne by the Hosted Buyer.
- If a Hosted Buyer cancels their participation within two weeks before the Show, a cancellation fee of 50% to 100% of the original hotel cost may apply.
Liability & Conduct
- The Show Management is not responsible for any issues arising from transactions between buyers, exhibitors, or other third parties.
The Show Management is not responsible for the actions of Hosted Buyers during their stay in Japan and will not verify their identity to any third party.
Hosted Buyers must promptly compensate for any damages caused to the Show Management, exhibitors, or other third parties due to their actions.
Hosted Buyers must carry a photo ID at all times during the Show.
Privacy & Consent
The Show Management will handle personal information in accordance with its Privacy Policy. Information may be shared with designated hotels and exhibitors participating in the Show.
Agreement & Responsibility
- By applying, the Hosted Buyer and their affiliated company/organization acknowledge and agree to the above terms and conditions. The company/organization shares responsibility for ensuring compliance and will support any necessary actions to fulfill them.
- In the event of a breach of this agreement, the Show Management may seek damages from the Hosted Buyer or their affiliated company/organization.
